The job holder will be responsible for managing Logistics in the Concept. The job holder will be expected to utilize and manage financial resources and systems necessary to deliver Concept operational objectives

DO — Key Responsibilities

1. LOGISTICS- Key Responsibilities

Import & Export Coordination

Coordination with Procurement / Technical / IT departments for their import & export requirements.

Primary information sharing regarding the shipment documentation, certifications, restrictions for UAE and the respective GCC territories (KSA, Oman, Qatar, Bahrain & Kuwait). Toys Import GSO Protocol.

Processing shipment requests received from the respective departments.

Supplier Coordination

Liaison with the intended supplier for Cargo information, availability of documentation, expected cargo handover date and mode of shipment.

Follow up with shipper for shipping documentation.

Coordinate cargo handover after nomination.

Liner/Forwarder Coordination – Getting comparative quotations.

Cost negotiations and finalization.

Preparation of Justification sheet and getting approval from finance.

Shipment Nomination and further processing.

Follow up for collection, transit, and delivery.

Territory Office Coordination

Keep the territory teams informed about the expected shipments.

Avail the required pre-approvals from the territory team for expected shipments.

Shipment Clearance

Arrange for clearance and delivery of shipments either directly or in coordination of a clearing agent to warehouse/stores.

Coordinate with the territory teams for clearance of shipments in respective territories.

Working with Ajman Ports & Customs for shipment clearance and delivery scheduling.

Documentation Control & Back Office

Filing and upkeep of the shipping and other relevant documents for each shipment/job completed.

Preparations of weekly/monthly reports as per the business requirement.

Follow up for vendor invoices / approval & submission for payment to the COE team.

Shipment Pre-Alerts to the relevant stake holders.

Tracking of cargo movement and upkeep of the information.

2. Finance – Key Responsibilities

Purchase Orders

Preparing Purchase Justifications and getting internal approvals.

Preparation of LPO in the system based on the approved Purchase Justification.

Expense Tracking

Preparation and review of Expense tracking sheets against approved budgets for respective projects.

Reconciliation of the expense tracking sheets with the territory in a periodic manner.

Purchase Justification & HO Approvals

Coordinate with territories for the Purchase Justifications for respective projects.

Coordinate the internal HO approvals as per the SOP.

Tracking the territory spends and controlling the additional or out of budget spends.

Advance & Invoice Payments

Process the advance and Invoice payments for vendors and coordinate with COE (UAE) or territories for timely release of the payments.

Vendor Coordination

Coordinating with the vendors for Documentation, approvals, project status & Invoice submission.

Documentation & Back Office

Maintaining and controlling the documentation in hard/soft copies.

Trackers/Reports as per the business requirement.



Basic Qualification: Graduate Degree in Commerce

Advanced Qualification: MBA

Minimum Experience: 6 – 8 years of experience in Logistics and Supply Chain preferably, in a Retail environment with specific exposure to operational financial planning and budget control

Specific / Relevant Experience: 2 -3 years of supervisory experience in an independent Logistics / Commercial function

Functional Skills and Capabilities:
Advance knowledge of logistic and supply chain managements

Knowledge of international rules and import regulations, related to freight forwarding, especially related to toys, kids’ categories as well as spare parts and machineries, across GCC.

Basic Accounting Tools or Financial tools

Knowledge of ERP based Accounting Systems

Financial Budgeting and Forecasting techniques
